How to Read PAT Test Results Without the Jargon

A PAT test report should make your next action clear, not leave you trying to decode electrical terms. Knowing how to read pat test results helps you identify which items are safe to keep in use, which need attention and what records to retain for an audit, insurer or internal safety check.

Most reports combine a visual inspection with electrical test readings. The details can look technical at first, but the key is to read the overall outcome before focusing on individual figures. A qualified tester should also provide a certificate or report that is clear enough for you to manage your equipment confidently.

Start with the overall result

Each appliance on a PAT testing report will normally be marked Pass, Fail or, occasionally, Not Tested. This result is the practical decision for that item at the time of testing.

A pass means the appliance met the required checks on the day. It can remain in service, provided it is used normally and shows no signs of damage later. A fail means it should be removed from use promptly until it has been repaired, retested or replaced.

Not tested does not mean passed. It may mean the item was inaccessible, unplugged from a fixed connection, unsuitable for a particular test, or not available during the visit. Treat these entries as an action point. Find out why the test was not completed and arrange for the item to be checked where necessary.

The pass or fail status matters more than trying to judge an appliance by one number in isolation. Test limits can vary according to the appliance type, its electrical class and the method used.

What the label on the appliance tells you

A test label gives a quick reference at the point of use. It commonly includes the asset number, test date, result and recommended retest date. Some labels may also show the tester's details or a barcode linked to the report.

The asset number is particularly useful. It should match the appliance entry on your report, allowing you to trace a specific kettle, monitor, extension lead or power tool without guesswork. If an item is moved between rooms or sites, the asset number remains more reliable than a vague description such as “office printer”.

A green pass label is helpful, but it is not a guarantee that equipment can never develop a fault. Staff should still report cracked plugs, loose cables, overheating, damaged casings or unusual smells between testing visits. A red fail label should be taken seriously: the appliance should not be used simply because it is needed for the working day.

How to read PAT test results in the report

The report usually records basic information first: the client name, site, test date, tester, appliance description, location, asset ID and result. Check these details are accurate, particularly if you manage several rooms, departments or premises. Clear records make renewals, replacements and future audits much easier.

You may then see columns for visual inspection and electrical measurements. The wording differs between reporting systems, but these are the results most commonly shown.

Visual inspection

This is not a minor part of PAT testing. Many faults are found before an electrical instrument is used. The tester looks for damaged plugs, exposed wiring, insecure cable grips, taped repairs, cracked enclosures, unsuitable extension leads and signs of overheating.

A visual fail often means there is an obvious risk that must be dealt with, even if an electrical reading might otherwise appear acceptable. For example, a frayed lead on a desk fan can expose live parts if it worsens. The correct action is repair or replacement, not ignoring the fault because the fan still runs.

Earth continuity or earth bond

This applies mainly to Class I appliances, which rely on an earth connection for protection. Typical examples include metal-cased kitchen equipment, certain desktop computers and many power tools.

The reading is usually measured in ohms (Ω). Lower resistance generally indicates a better earth path, but the acceptable limit depends on the test method and cable length. Your report may show a pass reading such as 0.12 Ω, alongside a stated limit. The important point is whether the tester has marked it as compliant.

If earth continuity fails, the appliance may not safely direct fault current away in the event of a problem. It should be removed from service until the cause is corrected and the item is retested.

Insulation resistance

Insulation resistance checks whether electrical current is leaking through insulation where it should not. This reading is generally shown in megohms (MΩ). Higher figures are normally better because they indicate stronger insulation.

A result may be displayed as a number or as “>200 MΩ”, meaning the reading exceeded the instrument's upper display range. That is usually a positive result. A low insulation reading can be caused by damaged cables, moisture, internal faults or ageing components.

Some sensitive electronic equipment is tested using an alternative method rather than a high-voltage insulation test. That is normal. A competent tester will select a suitable approach for the equipment rather than applying one test blindly to every appliance.

Leakage tests

Earth leakage, touch current or substitute leakage tests look for unwanted current escaping from an appliance. These tests are especially relevant where insulation resistance testing is unsuitable or where an appliance has electronic components.

Leakage is measured in milliamps (mA). In broad terms, lower is better, but the pass limit depends on the appliance and test type. A small amount of leakage can be expected in some equipment, particularly items with filters or motors. What matters is whether the measured value is within the correct limit and the equipment has passed the overall assessment.

Polarity and lead checks

Extension leads, IEC leads and detachable power leads are often tested separately. The report may show polarity, continuity and fuse information. These checks confirm that the live, neutral and earth connections are in the right places and that the lead is safe to use.

Do not overlook failed extension leads. They are often moved around frequently and can be subject to more wear than the appliance they power. Replacing a damaged lead may be a simple, low-cost fix, but it should still be retested before being returned to service.

Check the failure reason, not just the red mark

A useful PAT test report includes a failure code or short comment, such as “damaged plug”, “earth continuity fail”, “incorrect fuse” or “cable insulation damaged”. This tells you what needs to happen next.

For straightforward faults, a replacement plug, fuse or detachable lead may solve the problem. For internal electrical faults, repair should be carried out by a suitable competent person. In some cases, replacement is the safer and more economical choice, especially for low-value appliances or older equipment with repeated issues.

Keep a record of what happened after a failure. Note whether the item was disposed of, repaired and retested, or replaced with a new appliance. This shows that your organisation acted on identified risks rather than merely collecting a certificate.

Understand the retest date

The recommended retest date is a management tool, not a universal legal expiry date. PAT testing frequency should be based on risk. Equipment used daily in a busy workshop, school or public area may need more frequent attention than a rarely moved monitor in a low-risk office.

Consider how the appliance is used, who uses it, how often it is moved and the environment it is kept in. A power tool used on site has different risks from a photocopier in a controlled office. Keep the right documents together

For each testing visit, retain the detailed asset report, certificate, list of failed items and any repair or retest records. Store them somewhere accessible to the people responsible for facilities, health and safety or insurance documentation.

It is also worth checking that new purchases, donated equipment and staff-brought appliances are included in your process. A complete report only covers the items available and identified at the time. Good asset control prevents equipment slipping through the gaps.
